Keep your drive, your ERP and your email. Nothing you already use moves.

Collect

Ask once, and Engrama follows up

Today, what you are owed lives in a spreadsheet somebody keeps by hand, and the reminder goes out when a person remembers to send it.

Our ERP system is unable to hold documents for us. We currently use a live excel sheet called supplier tracker.

Engrama sends the request with its deadline on it, follows up until the record arrives, and files what comes back against the partner it came from.

Answer

It is checked before it reaches you

Today, what comes back is read against what was asked for by somebody who has other work. Most of it is fine, which is what makes the one that is not easy to miss.

They figured I would see the file names and never click on them I guess?

Engrama runs the checks you wrote on your partner’s side, before the record leaves them, so a problem is raised where it started instead of being discovered at your desk.

Checks Engrama runs before this reaches you

It has to be valid through the whole contract period.

Other checks on this request
  • The name on it has to be the partner we contracted.
  • It has to be signed and dated by whoever issued it.
  • It has to name the site the work happens on.
A request being written, with the checks that will run before it reaches you.
Review

Nothing is accepted without you

You accept the record, return it with a note, or accept it on exception and say why. Whichever you choose is written down with your name and the date.

The next time an auditor, a customer, an insurer or the person you answer to asks, you open the record instead of assembling one.

The checking sits on top of the records. Turn it off and the records still work.

What sits behind every record
  • Every document version kept

  • Every document opening recorded
  • Access scoped to what you shared
The filed record: its periods, the checks that ran before it arrived, and the trail that accrued while nobody was assembling it.
Track

Nothing stays current on its own

Today, a record is right on the day it lands, and nothing tells you the day it stops being right.

Then the vendor calls and changes the limits on the specifications. Rather than 300 doohickeys in the box, there are now 275 doohickeys in the box.

Engrama watches the date it expires, asks for the new one before that date passes, and shows you what changed when it arrives.
