Today, what you are owed lives in a spreadsheet somebody keeps by hand, and the reminder goes out when a person remembers to send it.

Today, what comes back is read against what was asked for by somebody who has other work. Most of it is fine, which is what makes the one that is not easy to miss.

Nothing is accepted without you

You accept the record, return it with a note, or accept it on exception and say why. Whichever you choose is written down with your name and the date.

The next time an auditor, a customer, an insurer or the person you answer to asks, you open the record instead of assembling one.

The checking sits on top of the records. Turn it off and the records still work.

The filed record: its periods, the checks that ran before it arrived, and the trail that accrued while nobody was assembling it.

Nothing stays current on its own

Today, a record is right on the day it lands, and nothing tells you the day it stops being right.

Then the vendor calls and changes the limits on the specifications. Rather than 300 doohickeys in the box, there are now 275 doohickeys in the box.
