Never chase a technical data sheet again

Engrama asks your suppliers for the data sheet, the certificate and the price behind every line you quote, checks each one against what you asked for, and keeps following up until the bid is complete.

Keep your accounting system, your spreadsheet and your email. Nothing you already use moves.

Reminders: 5 days before, then on the day

One enquiry, ten suppliers, one date

Today, an enquiry goes out to everyone who might supply it and comes back as a message, an attachment, a photograph of a page. The prices arrive without the data sheets, the data sheets arrive without the model number, and the customer’s date does not move while you sort it out.

Counterfeit materials and certificates is a huge issue. No, the distributor can not issue the 2.1 certificates. They have to come from the mill/manufacturer.

Engrama sends the same request to every supplier on it, with the date on the request and what each document has to contain written into it.

It follows up with whoever has not answered, so the third reminder is Engrama’s and not yours, and what comes back is filed against the line it belongs to.

The words already on your own paperwork

These are the record types a distributor handles, in a medical supplies business and an electrical one alike. None of them is invented here.

In your words
  • Enquiry and request for quotation
  • Quotation, line item, and the date a price stops being valid
  • Technical data sheet and specification
  • Certificate of conformity and test report
  • Authorised distributor letter, registration and free sale certificate
  • Lot, expiry, tender and bid submission

Start with the supplier who always answers last

Pick the data sheet or the certificate you end up asking for twice. We will build that request, with your checks on it, on the call.
